WhatsApp Templates are pre-approved message formats required by Meta to start a business-initiated conversation. You must use them for notifications, shipping updates, or re-engagement campaigns if the user has not messaged you in the last 24 hours.

Creating a Template

Access Template Manager

  1. Log in to Chatbot Builder AI.
  2. Navigate to Settings > Channels > WhatsApp.
  3. Click the Manage button (or “Manage Templates”).

Start New Template

Click Template Message > Add to open the template editor.

Configure Basic Settings

Fill in the required metadata:
  • Name: Lowercase letters, numbers, and underscores only (e.g., order_confirmation_v1).
  • Language: Select the language of the message content.
  • Category: Choose the correct Meta category:
    • Marketing: Promotions, offers, updates.
    • Utility: Order updates, account alerts.
    • Authentication: OTP codes.

Design Content

Build your message structure:
  • Header (Optional): Text or Media (Image, Video, Document).
  • Body: The main text (Max 1024 chars). Use variables like {{1}}, {{2}} for dynamic data.
  • Footer (Optional): A short line of text at the bottom.
  • Buttons (Optional): Add “Quick Reply” or “Call to Action” buttons (Visit Website, Call Phone).

Submit for Approval

  1. Provide sample content for your variables (Meta requires examples to approve the context).
  2. Click Save.
  3. The status will change to Pending. Meta typically reviews templates within minutes to a few hours.

Understanding Dynamic Variables

Variables allow you to personalize a single template for thousands of users. EDIT EDIT
Approval Tips:
  • Ensure your sample content matches the intended use.
  • Avoid overly salesy language in “Utility” templates, or they will be rejected or re-categorized as “Marketing”.
  • Spellcheck your content carefully; you cannot edit a template once it is submitted (you must create a new one).
